Sharing a plan
Plans are better with your people in them. Share the whole thing, or just the categories that are theirs, and keep the dentist appointment to yourself.

Where sharing lives
On the website, press Share beside your categories. You can pick Everything straight away, or Only one of your categories. In the app, open the More menu and choose Share this plan.
Only the person who owns a plan can share it. In the demo, Share sends you off to make an account first.
How much of it
The top of the share screen asks how much of the plan to hand over. Pick which categories, and on the website which dates as well: All time, This week, Next 7 days, This month, or Custom with your own From and To. The app has the first four.
That one choice covers the link, the next person you invite and any snapshot you send. People who already have access keep what they were given, and you can change theirs on their own row. Tick every category and anything you add later comes along too.
Can edit or can view
Everyone on a plan is one of three things.
- Owner: that's you, if you made it.
- Can edit: they can add tasks, change them, tick them off and remove them.
- Can view: they can look but not change anything.
Everything else about the plan stays yours. Its categories and default category, the filters and view it opens with, its stripes, its name, who it's shared with and whether it exists at all are for the owner to change. Someone you've invited can still choose their own view, filters and stripes, and those stay on their own device.
Inviting someone by email
Type their email address under People with access (Someone in particular in the app), choose Can edit or Can view, and press Invite. You'll need to have confirmed your own email address first.
They get an email with an Open the plan button. The link in it works once and lasts a week. They need a Cabana account with a confirmed email address, and it has to be the address you invited. If they haven't got an account yet, the link offers to make one. Until they say yes they show as Invited, not accepted yet, and you can cancel it.
To take someone off a plan, remove them from their row. If it's you who wants out of somebody else's plan, open Your plans and press Leave. Getting back in takes a new invitation.
Sharing a link
Under Anyone with a link, choose Can view or Can edit (Anyone with the link can read it, or edit it, in the app). Whoever holds that link can open the plan without signing in, and with an edit link they can change tasks too. So treat it a bit like a key.
We only keep a scrambled fingerprint of the link, which means it's shown to you once. Copy it while it's on screen. Lost it? Press Replace the link and the old one stops working. Changing what a link can do, or how much of the plan it carries, makes a new link for the same reason.
People reading by link see email addresses half hidden, like a***@example.com. People you've invited see them in full.
Sending a snapshot
A snapshot is a read-only copy of the plan as it is right now, packed inside the link itself, so nothing gets uploaded anywhere. Open the part of the share screen called "Or send a frozen copy that touches no server", then press Create a snapshot link on the website or Send a snapshot in the app.
It carries whatever you picked at the top of the screen, and ignores any filters you've got switched on so nothing goes missing by accident. A snapshot can't be updated or taken back once it's sent. When the plan changes, send a fresh one.
Planning together
Changes land on everyone's screen within moments. If two of you change the same task, the most recent change is the one that stays, and nobody gets a pop-up asking which to keep.
A little initial on a task says who last touched it, when that wasn't you. On the website, hover over it to see who added it and who changed it last.
Who pays
Only the owner. Their subscription covers everyone they share with, so nobody you invite is ever asked to pay. If the owner's subscription ends, everyone already on the plan keeps their way in and everything in it stays put. Until they renew it's read-only, and nobody new can be invited. Your subscription has the rest.
